  1. Implementation was completed on 2 January 2018 of the new structure in systems. All went well. Minor problems were picked up but quickly resolved. TLC phase enetered on 3 Janaury.

  2. This project is on track. Will be refreshing databases for our 3rd End-to-end testing phase. Only a few matters outstanding. All administrative systems will be closed down on 15 December and we will be live on the new structure on 1 January 2017.

  3. We did our 1st End-to-end testing in September and it didn’t go too bad.

    Still busy with testing, improving, changing etc. At the moment we are on track for implementation December 2017.

  4. The top 4 levels of the new structure were introduced and the newest Approval hierarchy went live last week. Busy with the scripts and changes to HR, VSS and KFS on TEST so that end-to-end testing can start in September.

  5. For 1 July 2017 only the top 4 levels will be introduced so that up to level 4 can start operating according to the approved structure. This means that the new Deans will have an OE and can be appointed. Anything beneath level 4 will be handled as part of the old structure.

    The complete OE structure in HR will change for 2018. All OE code will change to a new 4-digit code.

    The COA’s will also change because of the changing OE codes and because KFS is not date driven. In KFS, as soon as an Account’s OE changes, it will look as if it was like that forever. No history can be kept. With KFS it was decided to change the Accounts as well as the Chart. No more P.1A00001.8002 but in future it will be PC.81A0001.8002. (As you can see the chart is now 2 digits and the Account will change).

    Since the academic structure changes and all the qualifications and curriculum’s are going through the HEQSF alignment process, the codes will also change and linked to the new OE structure where applicable.

    Extra new implications are introduced: With the complete OE structure change, it may happen that a person belongs to an OE at a certain location but he/she physically sits on another campus. We refer to the OE campus (linked to your OE) and the Chair campus/Site campus/virtual campus(linked to you as a person).

    Almost all interfaces/web services only carrying 1 campus will need to carry 2 campuses and the receiving system will have to receive maybe 2 campuses as well and not just the one as is the case currently.

    We started with the project on 1 May already and we hope to have the complete OE structure completed soon.

    The project team is busy planning the end-of-year processes and we hope that the official close down of all processes @ NWU can start by 1 December. Dates to be finalized before end of May for IM and Steerco approval

    Change management very important and is being planned. Currently focus on the messag eand approval from senior management
