New system for Interpreters (BSS)

Hulle benodig ‘n tipe databasis stelsel met ‘n web interfase wat die tolke kan gebruik om van hulle iPads af inligting in te vul. Hulle wil sommer net die student bv. se kaart moet kan scan en dan word die student se inligting outomaties ingesit. EED sal hulle help met die kaartlesers. Ek het tydens ons afsprake gevra hulle moet vir ons lokale identifiseer, dat ons kan seker maak oor netwerk konneksie . Die lys is ook aangeheg. Dan heg ek ook ‘n Word dokument aan waarop ek al my notas ingesit het oor wat die stelsel moet kan doen min of meer.

 

Hulle werk proses op die oomblik is soos volg.

Die tolke moet met elke periode ‘n presensie lys met die hand invul om rekord te hou van watter studente gebruik gemaak het van die tolkdienste en toerusting wat uitgegee is. Hulle doen dit deur die student se studente kaart te neem as hy die toerusting vat en dan as hy dit terug bring word sy kaart terug gegee nadat al sy besonderhede op die presensie lys geskryf is. Die probleem egter is dat met baie groot klas groepe is hierdie ‘n groot probleem omdat dit baie tyd in beslag neem. Dit lei ook tot foute op die vorms.

Dikwels moet tolkdienste ekstras assistente kry om te help met die “Admin”.

 

Die Presensie lyste word dan deur elke tolk ingehandig en deur ‘n administratiewe persoon by Tolkdienste saamgevat in ‘n Excel Spreadsheet. Hier sluip ook baie administratiewe foute in met die oordra van inligting op Excel sowel as die samevatting daarvan. Weens die volumes word Excelsheets opgedeel in weekliks.

 

Hier is sommer ‘n vinnige som wat ek saam met hulle gemaak het. Daar is tans 78 Tolke, wat beteken daar word 390 vorms per week ingehandig. Dit word dan 8580 vorms per semester en 17160 vorms per jaar wat verwerk moet word. Vir Tolkdienste is dit ‘n klomp admin wat hulle wil outomatiseer.

 

Lyn het begin met ‘n toets om die numbers App van iPad te gebruik om rekord te hou vir die tolke van hulle dagboek en Presensie Lyste.

  1. This project has come to a halt. We did send them some info regarding Google docs and getting their info shared in a better way and they were happy with that. On HOLD at the moment.

  2. We are still looking into options on how to capture the data for the interpreters. Don’t want to go Access way – looking into Oracle or maybe some other system with database and capture abilities as well as reports. See the data to be captured.

  3. After the discussions, the following was done:

    1. WiFi problems were reported and Rika and Johan Badenhorst will look into it.

    2. It was suggested that the interpreters contact Kobus le ROux for access to eFundi so that they can download the students per class group from there. A lot less problems.

    We are in the process of looking for a way to capture all the data.

  4. We visited the interpreters again and had very fruitful discussions.

    The need to capture and record all users of headphones are needed more than ever! Double medium didn’t necessarily ease the problem – it is actually worse due to timetable clashes and repeaters from the previous year and more student numbers!

    They need the following:
    1. Database to capture all the Excel spreadsheet of 485 modules being interpreted.
    2. Quicker way to hand out headphones and take them back – card reader or tap etc.
    3. Wi-Fi a big problem – or the lack thereof suddenly at places there were before!
    4. Loading lists per classgroups of students – currently everything captured by hand.

    We will be looking into specific problems in future.

  7. Meetings were held with the interpreters in late November to get a feel of what to expect. They did however say that with the double medium classes, the amount of headphones might be less than before in the big classes. They actually want a way in which to quickly give out headphones and collect them again. At the moment they give headphones in exchange for a student card. It is very time consuming. As Mari indicated – we will have to look at the whole process again with the changed policy etc.

  9. The first touch-base meeting was held with the relevant parties.

    A thorough investigation into their needs need to be scheduled. Mari Prinsloo will identify the coordinator.

  10. The interpreters need a card reader linked to VSS (in order to have access to the relevant information), and they need a database where the information can be stored.
    The VTC has a similar need for the Supplemental Instruction (SI).
    WiFi is not required with card readers.

    Priority: Not highest priority.
