During discussions with Jaco-Philip and his colleagues, the following emerged as starting points:

1. During a web aplication, a student must be able to pay for the application while busy.

2. When booking graduation ceremonies and gowns, the graduate must be able to pay online for this while busy.

3. As a standalone option, students or debtors must eb able to make payments via NWU’s website and online payment facility.

These are only a few places where this can be made part of processes at NWU.

Several Service Providers were identified and discussions held on the different methods and ways to implement online payments, the pro’s and con’s of each method and the cost and support that goes with this.

3. Discussions with Financial Management Committee etc Complete 80% Tasks 0 / 1


Discussions must be held with the FMC on the funding and business owner for this process. This will only happen in 2016. The documentation is ready to be presented.

Jaco-Philip must take up the matter with Elmarie de Beer. This did not get to the table at FMC meeting. Next meeting only 18 Feb 2016.

4. Fundraisers vs. Online payments Complete 70% Tasks 0 / 1


As part of Fundraising, the need for a “red button” on the NWU website where a pledge can be made and payment done, must be investigated and put into place.


Hannes will investigate how to fund this as long as it gets done quickly.

  1. Moved to 2020 after sme additional discussions. Finally decided to stay with service provider decided on in the 1st place.

  2. Finance decided on a Service provider but then decided to also look at FNB and Nedbank services. Still in process.

  3. This project is starting up again. The need for a Payment Gateway exists for Applications & Admissions, Registration monies, Minimum fees, RSVP, Online giving, verification of certificates, duplication of certificates etc. The RFP is waiting for final approval by Elmarie de Beer and then only will the operational items get attention. A proper design must be made with a payment catalog, as well as an operational plan with business owners etc.

  5. This project is stuck at choosing a Service Provider by business. For now we can put this project on hold, because we won’t be able to finish it in 2017.

  7. Meeting was postponed due to urgent matters regarding NSFAS. New meeting scheduled for 22 November.

    Another project regarding Online funding were registered to handle the RED BUTTON solution. This project will support that project.

  8. A meeting is scheduled for 8 November to get the go-ahead from prof Marlene & Elmarie and to get the projectr team who will be working on this.

    The Red button project is for now over to Gena to get a quick solution on the table. The more advanced solution will be looked at 2017.

  9. Discussions took place with Hannes Malan and Celeste du Preez regarding the use of Online paymenst as part of the DEVMAN system and donations towards NWU projects. For now a quick solution will be put on the table but this investigation and change needs to continue for the Fundraisers sake.

    The aim is to add another benificiary and get it quicker done that the Application process.

  10. Due date has been moved. Still waiting for feedback from stakeholders on whether to proceed or not. Restructuring POC came in-between.

  11. Due to circumstances regarding the restructuring and overseas visits by Jaco-Philip, we could not continue with this project yuet. Await final confirmation for the process from Jaco-Philip.

    He will be back in the office on 26 July but again busy with re–structuring duties.

  12. New discussions must take place between Jaco-Philip Ellis (SAS office) and Marieta Olivier du Preez (SAS office) and Belinda Bosch (Finance) and myself to finalise the document sent to these 3 so that it can be presented to ELmarie for final approval. Then we will choose the Service Provider. Elmarie wants to know how it will benefit NWU and where will resources be saved and how they can maybe help at another place when less transactions will be handled at the cashiers.

  13. We are still busy getting all the data together for Elmarie de Beer. Not a lot of progress due to other projects and the auditor’s visits and completing some reports etc.

    Will commence again with this in all earnest in April 2016.

  14. After a meeting with Elmarie de Beer on 18 February, Jaco-Philip and myself got the go-ahead for the project. ELmarie asked for the following though (after what we have already supplied:

    1. Business case with an impact study on current projects and what will have to move – or not;
    2. Priorities
    3. Savings in terms of money end EFT’s
    4. How the business process will change and improvements;
    5. Development work needed;
    6. Budget?

    We got the name of Belinda Bosch to assist us, but ELmarie feels that we have to move with the times and do away with cash transactions on campus.

  17. Sent email to Jaco-Philip asking hom to take up the matter regarding online payments with ELmarie De Beer since costs are involved. Also need funds to carry on with project.

    Pre-requisites to continue:
    1. Approval by Elmarie de Beer for costs etc.
    2. Budget from Business owner and go-ahead.

  18. A document was compiled with a few SP identified etc. It must now go to the FMC. Jaco-Philip Ellis will take his request to the FMC in 2016.

  19. Discussions were held with some Service Providers regarding the tools needed.

    MyGate, VCS – Virtual Card Services, Altech Nupay and PayU.

    The next step is to speak to Finances regarding the costs and only then will we be able to make a decision on which SP to choose.

  20. Discussion held with Finance (Errol Earle) to obtain approval for further investigation of online payments as payment method. Errol referred us to an ABSA representative who assisted us in getting a shortlist of ABSA approved service providers (of a payment gateway).

    Currently investigating 5 service providers to establish a functional fit for NWU business need.

    IT will have to make a recommendation to the FMC (Financial management Committee) when the investigations are completed in order to get approval for a specific service provider and to get the necessary contracts in place.
